Monthly ESG data collection template
A spreadsheet for the figures every BRSR needs, collected the way they should be: by site and month, with the evidence reference and the approver beside each row, and Scope 1 and 2 worked out from the data with the factors shown.
- Nine sheets, no macros, 43 KB
- Default factors with their sources
- Free to use and adapt
What is in the workbook
Each data sheet has one row per site and month, the unit in the column heading, an evidence column and two names: who entered the row and who approved it. Fuel consumed is worked out from stock; water consumption from withdrawal and discharge.
| Sheet | What goes in it |
|---|---|
| Read me | How to use the workbook, the limits, and links to the guides. |
| Sites | Every site in the reporting boundary, with who enters and who approves its figures. |
| Fuel | One row per site, month and fuel: opening stock, received, closing stock — consumed is worked out; evidence, entered by, approved by. |
| Electricity | kWh by site, month and source, with renewable certificates or green tariff kWh and the bill reference. |
| Water | Withdrawal by source (groundwater, surface, third party, sea, other) as BRSR Principle 6 asks; discharge; consumption worked out. |
| Waste | Quantity by BRSR category, recovered or disposed, the method, the handler and the certificate or manifest number. |
| Safety and people | Employees, workers, hours worked, lost-time injuries, fatalities and high-consequence injuries — the inputs for LTIFR. |
| Factors | The default factors used, with their source and basis: IPCC 2006 for fuels (manufacturing, AR5) and the CEA grid factor for FY 2025-26. |
| Emissions | Scope 1 by fuel and Scope 2 from grid electricity, worked out from the data sheets with the factors — a worked calculation, not a complete inventory. |
The worked example in the file
The example rows show the arithmetic end to end: diesel opening 1,200 + received 2,000 − closing 1,000 = 2,200 litres, × 2.685 kg CO₂e per litre (IPCC 2006, manufacturing, AR5) = 5.91 tCO₂e; grid electricity 10,000 kWh × 0.675 kg CO₂ per kWh (CEA v22.0, FY 2025-26) = 6.75 tCO₂; water withdrawal 1,000 KL − discharge 350 KL = 650 KL consumed. Replace the example rows with your own.
The same factors are in the emissions calculator, and the method is explained in Collecting ESG data from sites and suppliers.
What this tool does not do
- It does not cover Scope 3, process emissions, refrigerant leaks, market-based Scope 2, or the social and governance sections of BRSR beyond safety and headcount.
- The factors are defaults: your fuel's calorific value, a supplier's factor, a different sector table or a later grid year may be more accurate. Record the factor you use and why.
- A spreadsheet has no audit trail: once figures are approved, anyone can still change a cell. For figures that are locked after approval, with evidence attached and every change recorded, use the platform.
Questions about the template
Is this the BRSR format?
No. It is a collection template for the monthly figures that feed BRSR Principle 6 (energy, water, waste, emissions) and the safety indicators of Principle 3. The BRSR itself is filed in SEBI's format, in PDF and XBRL.
Does it contain macros?
No. It is a plain .xlsx with formulas only, so it opens in Excel, LibreOffice and Google Sheets without warnings.
Can I change the factors?
Yes — the Factors sheet is editable, and the Emissions sheet reads from it. If you change a factor, write the source and the reason beside it, so the number can be defended later.

From a spreadsheet to a system of record
ESGTrack collects the same figures through forms and the offline field app, reconciles fuel with stock, attaches the evidence, and locks approved figures — then calculates, reports and files from them.
